ATTENTION, ALL BW TEAM MEMBERS

The annual review of BW's policies is underway! In our growing global organization, policies are necessary to explain and enhance how we work together. Each year, we take the opportunity to review and update our policy portfolio to ensure we are being responsible stewards of the company’s resources and fostering environments that help our team members feel safe, well and fulfilled.

Over the next few months in this space, we’ll highlight or clarify a new or revised BW Policy to help you understand what the changes mean and any actions you need to take.

CORRECTED: Updated BW Travel Policy could save BW up to $1.2M

Note: There was an error in the July edition of the oneBW newsletter. The Travel Policy section stated that adherence to the policy could save BW up to $12M. The correct figure is $1.2M. We apologize for any confusion this may have caused and appreciate your understanding.

Significant updates to the Global Business Travel Policy are intended to streamline the program and clarify team members’ obligations when spending BW funds on travel and entertainment. BW asks that team members spend BW funds as if they were their own. If all BW team members who booked travel and entertainment followed the outlined rules, BW could save up to $1.2M annually on travel and entertainment expenses!

Here are some of the key changes:

  • Booking Travel: Mandatory booking through Travel Leaders or Concur (with limited exceptions). BW credit cards must be used; personal cards are not allowed (with limited exceptions)
  • Air Travel: Preferred airlines should be used unless the fare difference is $200 and two hours. Book 14+ days in advance to secure the lowest fares. Use unused tickets first.
  • Seating: Choose economy seats for international travel unless the flight is over six hours; premium economy allowed if within $1000.
  • Travel to High-Risk Countries: Countries of high-risk have been defined. A review and approval process has been implemented to mitigate risk.
  • Hotels: Preferred hotels must be utilized and booked through Travel Leaders.
  • Car Rentals: Preferred rental car companies must be used for insurance purposes. Select mid-sized or intermediate-class vehicles.
  • Business Meals: For business meals among BW team members, the most senior person must pay.
  • Expense Reports: Leaders approving expense reports are responsible for compliance to this policy.
